Thank you for using ScoutSwap. ScoutSwap operates a website named 'ScoutSwap', available via https://www.scoutswap.co.uk (the 'website', 'site') that facilitates users trading Scouting badges, neckers ('scarves', 'neckies', 'neckers') and other Scouting-related items ('Scouting items') ('ScoutSwap Service') ('Service').

The ScoutSwap Service is provided by ScoutSwap ('ScoutSwap', 'we', 'our' or 'us').

This Safeguarding Policy informs Website visitors about our safeguarding procedures and practices in place when You use the Service.

Over/under 18s

ScoutSwap allows users to communicate one-to-one in order to carry out trades. This brings the risk of under-18s and over-18s communicating one-to-one, which could raise multiple concerns for the welfare of the young person.

We mitigate one-to-one situations, and any concerns within them, between over-18s and under-18s through various safeguarding measures. These include:

requesting the date of birth of all users signing up to the Service;
requesting all users to agree to our safeguarding policy upon sign-up;
using IP addresses to determine the country of residence of all users signing up to the Service;
verifying email addresses to prevent spam accounts used for malicious purposes;
not allowing under-18s to see over-18s' posts, and vice versa, therefore prohibiting trades to be begun between the two age groups;
encouraging all users to report any concerns they have about other users, through the use of our report buttons located across the website;

We also encourage parents and guardians of under-18s to monitor their child's use of the Service.

Volunteers

ScoutSwap allows volunteers from the age of thirteen (13). This brings the risk of one-to-one situations between volunteers, between volunteers and management, and between volunteers and users.

To prevent any one-to-one situations, we have the following measures in place:

all Discord channels (including volunteer/staff channels) are accessible by 2 members of management, at least one of which is aged over 18;
any ScoutSwap related external communication is managed via a ScoutSwap email address, which is monitored by management, or via our Discord server, which then follows our Discord measures;
all volunteers are made aware of our safeguarding policy;
all volunteers are made aware that they are not to directly message management, and are instead to use ScoutSwap emails or Discord tickets where appropriate, which then follow their own measures;
some roles are restricted in age to be 18 and above only, where required for safeguarding or legal reasons;
all volunteers are encouraged to report any concerns they have about other users or volunteers;
we encourage all over-18 volunteers to complete the WOSM "Safe From Harm" training;

If we have concerns

If ScoutSwap have concerns over the welfare/actions of an under 18, we will:

take any appropriate action, as layed out in our Terms of Service;
use the country provided to us on registration to find the appropriate National Scouting Organisation, and provide information to their safeguarding team of the events and contact details we may have for those involved;
failing to find the NSO, we will contact the World Organisation of The Scouting Movement safeguarding team with the relevant information;
if there is an immediate risk of harm, we will contact the appropriate emergency services or local authority for the provided country;

If ScoutSwap have concerns over the actions of an over 18, we will:

take any appropriate action, as layed out in our Terms of Service;
use the country provided to us on registration to find the appropriate National Scouting Organisation, and provide information to their safeguarding team of the events and contact details we may have for those involved;
failing to find the NSO, we will contact the World Organisation of The Scouting Movement safeguarding team with the relevant information;
we will contact the other User involved to ensure their welfare;
if there is an immediate risk of harm, we will contact the appropriate emergency services or local authority for the provided country;

All safeguarding incidents are taken seriously and handled with the utmost care and confidentiality.

Please note: we will only act upon concerns that are reported with sufficient information to allow us to investigate. If a situation has arisen outside of ScoutSwap, we are not obliged to take action unless it then affects our Service.

All safeguarding matters are kept directly between the management team.

Birthdays

There may be situations where a User turns 18 during a trade.

In these situations, a User is defined as the age they are when the trade request was first sent/received.
